Whitney Guests ("we," "us," or "our") provides a visitor management platform that organizations use to manage guest check-ins, host approvals, and related notifications. This policy explains what information we collect, how we use it, and how we handle text message communications.

Information we collect

We collect names, email addresses, and, in some cases, phone numbers for visitors and hosts, along with visit details such as check-in and check-out times, approvals, and visit reasons.

Text messages are strictly opt-in, and consent is collected directly from the visitor: a mobile number only receives messages when the visitor personally entered it on the check-in kiosk and checked the box labeled "Text me updates about this visit," shown alongside the disclosure "Whitney Guests sends 1-2 messages per visit. Msg & data rates may apply. Reply STOP to opt out, HELP for help." Providing a number is always optional and never required to check in. Phone numbers entered by anyone other than the visitor are never sent text messages, and we never buy or acquire phone numbers from a third party.

Text message notifications

If an organization has SMS notifications turned on, and the visitor opted in at the check-in kiosk, we send text messages about the status of that visit:

  • Notice that the host approved the visit
  • Notice that the host declined the visit

These messages are transactional, not promotional. Typical frequency is 1–2 messages per visit; frequency may vary with visit activity, and we do not send recurring or scheduled marketing texts. Message and data rates may apply. Reply STOP to any message to opt out, or reply HELP for assistance.

How we share information

We do not sell or share mobile phone numbers or SMS opt-in data with third parties or affiliates for marketing or promotional purposes. We share visit and contact information only with:

  • The host or organization being visited, so they can manage the visit
  • Service providers who help us operate the platform, such as our SMS and hosting providers, solely to deliver the service
  • Law enforcement or regulators, only when required by law

Data retention

Visit records, including any phone number provided, are kept according to the organization's configured retention policy and are deleted automatically once that period expires.

Your choices

You can opt out of text messages at any time by replying STOP. If you believe incorrect information was entered on your behalf, contact your host or the organization managing your visit.
